The Booking Made in February

Most bookings here are made inside a week of the evening they are for. Cruise bookings are the exception, and a fair number arrive four or five months out, written from a kitchen table somewhere with an itinerary open in another window.

It is the easiest kind of booking to get right and the easiest kind to leave too vague, which is what this post is about.

What can be settled in February for a September sailing

Nearly everything. The date, which is printed. The start hour, which follows from the boarding time. The length, which follows from the start hour. Whether it is one therapist between you or one each. And who, because the roster is wide open that far out and a couple can name the woman they read about rather than take whoever the evening leaves.

That last point is the real argument for booking early. A particular person on a particular Friday in high season is a request; the same request made in winter is usually just an answer.

What cannot be settled yet, and does not need to be

The address. Plenty of couples have not chosen a hotel in February and some have not booked flights. None of that blocks anything: the thread agrees the shape now and the room number arrives later, which is an ordinary sequence rather than a loose end.

The only thing to remember is that the forty to sixty minute arrival window runs from a confirmed address. Sending a room number on the day is normal. Not sending one at all and expecting a district to do the work is not.

The half that goes ahead

A booking made more than twenty-four hours before it starts carries half the fee in advance, and a February booking for September is about as far outside twenty-four hours as it is possible to be. For a February couple booking ninety minutes with one therapist, half the fee changes hands once the hour is fixed, and the rest waits for September.

Guests occasionally ask whether the figure could change between February and September. It does not. The figure agreed in the thread is the figure, and the second half is the same number in September that it was when you wrote.

What happens when a plan made in February stops being true

Sometimes it does. Itineraries are altered, sailings are moved, a couple decides to fly in a day earlier. None of that is a crisis and all of it has the same answer: write as soon as you know.

One change of date is free, provided the request reaches the thread more than twenty-four hours before the booked time and the new date falls inside fourteen days. That covers most itinerary shifts, which tend to move a sailing by a day rather than a month. Where the new date sits further out, write anyway and say so; a second move, or one asked for inside the final day, is measured on the notice scale exactly as a cancellation sent at that moment would be.

Nothing else about a booking changes with the notice either. The arrival window is the same forty to sixty minutes in September that it was in February, and the format the two of you agreed is the format that turns up.

Booking both ends at once

The couples who do this get more out of a trip. The pre-cruise evening and the evening you come ashore are different bookings with different shapes, and arranging them in the same conversation means the advice about each can take the other into account.

In practice it usually produces ninety minutes before the sailing and something considerably longer after it, which is the right way round and almost the opposite of what people plan when they think about it for the first time.

A note on the long wait

Five months is a long time to hold a thread, and couples sometimes worry that a booking made that early will be forgotten. It will not. Everything about a booking lives in one written conversation: the date, the hour, the format, the address when it exists, the figure and the half that was agreed. Scroll back and it is all there, which is the point of doing it in writing rather than by memory.
